Overview page of board structuring

By accessing the interface of your board organization, you will find the previously selected scenes. The scenes that are inputted manually are now ready for reordering. This process is much easier with this drag-and-drop interface.

Here is what your board should looks like :

  1. The left column groups together all your unplanned scenes. In order to build your board, you need to drag and drop the scenes into the right part of the page. When the left column is empty, you know that you have added all scenes and missed none. By clicking on the green frame of a scene, you can display the following data: script, summary, sets, roles, estimated timing, notes and breakdowns. However, it is still possible to modify the data by clicking on the modification tool. You can also delete a scene by holding down the SHIFT key and pressing the scenes you want to delete. Then, click on the bin icon that appers above the list. 
  2. You can plan you board in the right part of the page. Here you can assign a scene to the day and unit of your choice. This part is normally structured according to the number of units and the dates that you have defined earlier. 
  3. The upper part of the page offers various functionalities. Click on "POOL" in order to hide the left side and display a better overview of your stripboard.
  4. To focus on one team at a time, you can hide the other units from the board by clicking on the arrows.
  5. It is possible to show or hide the summary of the scenes by clicking on "SUMMARY".
  6. You can also display your board in a single column format by pressing "1 COLUMN".
  7. This button automatically saves your changes.
  8. You can view the week shooting total. Every time you add a new scene, the total will be automatically updated.
  9. To view the total number of scenes, number of days, number of units, total shooting time, and fees, hit  the "i" button.
  10. Click on "VERSIONS" to view older versions of your board.
  11. Once all the modifications have been added, you can create a new version of your board by pressing the icon
  12. View the actor's scheduled shooting dates by pressing the calendar icon.
  13. Export your board to an Excel table by clicking on "X".

 

 

Order scenes

To start scheduling your board, you need to drag and drop scenes from the left-part column on to the correct production day and unit in the right side.  

Filter and group scenes for easier scheduling

The filter displayed at the top of your scene list makes it easy to plan similar scenes together. Filters can help you strategize your scheduling according to locations, roles or categories. 

  1. You can filter and see just certain scenes by entering your criteria directly in the text field.
  2. To refine your search you can select from the categories displayed in the dropdown menu of filters: category, sets or roles.
  3. The scenes will be automatically filterd.

 

 

It is also possible to sort and group the scenes. To do this, follow the instructions below: 

  1. Click on the icon arrows at the top of the scene list.

  1. In the new pop-up window, select one of the following options: scene, category, Int / Ext, Time effect, Number of roles and type.
  2. Determine how the list is sorted.
  3. Validate your choice by clicking on OK.

You can notice that your scenes are automatically grouped according to the defined criteria.

 

Add banners strips

Banners Strips are simple yet versatile elements to help organize your board. You can put in banners for any non-scene event that you want to plan during the day. It's possible to add new meal breaks, production moves and information banners. In the toolbar menu located above the scene list, you can find the different banners you will need. To add a banner strip, follow the steps below : 

  1. Press on the icon  of the car to insert a MOVEMENT banner, the "i" to add an INFO banner and 
  2. The banners will appear in the left column alongside with the scenes. You can then drag and drop them to any location in the right side. 
  3. You can also modify the banners by clicking on the icon. In the new pop-up window, you can add the time, notes and rate the difficulty. You can also change color of banner.

Add more scenes

If you need to add a new scene, you can do so at anytime. To be able to quickly add scenes, follow the steps below:

  1. In the toolbar menu located at the top of the scene list, click on the addition symbol.
  2. In the pop-up window, enter the necessary scene information: type of project, episode range: minimum and maximum episode to be planned, status of the scenes: shot, planned or unscheduled. You also need to select the text version (final version or revised version). In the dropdown menu of “sets”, pick the specific set. You can also choose one of multiple roles. Determine the dates of planned scenes and the session. Finally, pick one of the different units.
  3. Launch the search by hitting the magnifying glass.
  4. The results returned by the search are displayed below. Handpick the scenes by manually clicking on the stripes, one by one or press “select all“.
  5. Click on the icon of addition in order to add the selected scenes to your board.

Your scenes have been added. You can now start scheduling them.

 

Move scene or multiple strips

Now that your scene list is complete, you can start planning your board. You can reorder strips by set or roles and add day breaks based on estimated time or scheduled duration.

To schedule a scene or a banner, you need to:

  1. Take hold of the scene you want to plan by clicking on it.
  2. To move a scene to the shooting day, simply drag and drop them where they should be.
  3. Assign to each team what they should be doing on a specific day: shooting scenes, travelling, meal breaks and other.
  4. Drag and drop multiple scenes at the same time: If you are looking to move several scenes at once, hold down the SHIFT key while clicking on the different strips. You can then drag and drop them all together at the same place on your board.

 

Icon Guidelines

This is what your stripboard should look like once you have ordered your scenes and deployed them under the day and unit of your choice : 

 

 

 

Here are the multiple icons you can find and what they represent: 

  1. The total estimated time of the planned scenes
  2. Shoot duration: This will be highlighted in red if the duration exceeds the average. CAUTION: The meal break is not calculated in the total while the movement and information banners are taken into account.
  3. Information: By clicking on the icon "i" of a specific unit, you can view the number of shooting days, scenes, sets, roles, fees, shooting duration and expected timing of a unit.
  4. The small clock next to the date / unit indicates the shooting time. Just click on it and fill in the PST with the start time of the day. The end of day will be automatically calculated based on the length of the scenes. CAUTION: The meal break is not taken into account.
  5. When completing the PST, you have the option of including notes. To aid your planning, you can add notes to help you remember important information. By entering a note in the pop-up window of the clock icon,  the icon will be displayed next to the unit. 
  6. The icon "i" provides you with the statistics of a specific unit: week total, day total, total of scenes and the different roles.
  7. For a better organization of your board, it is important to take into account the availability of sets and the constraints of the actors. By clicking on the symbol, you can get a quick glimpse of the roles and settings that are unavailable on this day.

Publish your board

Once you have done working on your board, you need to save the changes and create a new version.

To create a new version, click on in the top right side of the page. In the pop-up window, assign a number for your version. In the note section, you can add notes. Validate these steps. Once you are done, click on  icon.

 

 

In order to publish your board, you need to go back to the previous interface. Here you need to click on the tool "PUBLISH". In the pop-up window, you can select "final dates" or "do not publish times". Save the changes.

Warning: If you publish the new board, the previously published date will change. This action is not reversible.
